Kennedy Recreation Center McInerney Arena Audio Replacement

The City of Trenton and the Parks and Recreation Department are requesting formal competitive sealed bids to replace the audio system in the McInerney Arena located at 3101 West Road, Trenton, MI 48183.  All Bids will must be received at the City of Trenton, Clerk's Office, 2800 Third St., Trenton, MI 48183 no later than 10:00 a.m., Wednesday, October 11, 2017 and must be clearly marked "Kennedy Recreation Center Audio Replacement." No faxed bids will be accepted. Late proposals shall not be accepted and it is the responsibility of the Bidder to ensure that the proposal arrives in the City Clerk's Office by 10:00 a.m. on Wednesday, October, 11, 2017.

The purpose of the Request for Proposals (RFP) is to provide prospective interested parties with sufficient information to prepare and submit their proposals relative to the project described within.

Issuing Body
The City of Trenton and the Parks and Recreation Department are requesting formal competitive sealed bids for the audio system replacement in the McInerney Arena of the Kennedy Recreation Center located at 3101 West Road, Trenton, MI 48183. Proposals should be delivered to: City of Trenton, Clerk's office. Questions regarding this RFP may be directed to Tim Beaker, Business Operations Manager of Trenton Parks and Recreation Department, at (734) 676-7172. Mr. Beaker will make arena staff available in person or by telephone to explain and discuss service needs with any and all interested companies.

Project Statement
The City of Trenton is seeking companies qualified to install an arena audio system and matching the material specifications. The quote should include the preparation, product, labor and removal of previous sound system.
A site visit is strongly recommended before submitting a proposal.

Content of Bid
1. Bidders shall thoroughly read the project requirements and specifications, and shall examine any supplements which may be incorporated in the bid documents. As bid documents frequently change for each Solicitation, veteran bidders shall not assume that this solicitation contains the same terms and conditions that were supplied in prior solicitations. The City is not obligated to identify either minimal or substantial modifications to bid documents.
2. Bidders shall make all investigations necessary to thoroughly inform themselves regarding the plant, residents and or facilities affected by the delivery of services, materials and equipment as required by bid conditions. No plea of ignorance by the bidder of conditions that exist, or may hereafter exist as a result of failure to fulfill the requirements of the contract documents, will be accepted as the basis for varying the requirements of the City or the compensation to the bidder.
3. Bidders are advised that all City contracts are subject to legal requirements contained in City Ordinances and State and Federal Statutes governing purchasing activities.
4. Bidders are required to state the exact intentions of their offer to the City via this solicitation and must indicate any variances to the terms, conditions, and specifications of this solicitation, no matter how slight. If variations are not stated in the Bidder's Offer, it shall be construed that the Bidder's Offer fully complies with all conditions identified in this solicitation.

Rejection of Submissions
The City of Trenton reserves the right to reject any or all submissions as a result of this RFP or to negotiate separately with any source whatsoever, in any manner necessary to serve its best interest. The City of Trenton will not pay for the information solicited or obtained. However, the contents of a submitted proposal may be the basis for a negotiated agreement.

Incurred Costs
The City of Trenton will not be liable for any cost incurred by the submitters prior to the execution of an agreement.
